Terms of Service

These Terms are a legal agreement between you and submitcfp. By using the platform you agree to them.

1. Acceptance of terms

By accessing or using submitcfp (the “Service”), you agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree, do not use the Service.

2. Eligibility & accounts

You must be at least 16 years old to use submitcfp. You are responsible for the accuracy of your account information and for keeping your credentials secure. You are responsible for all activity that occurs under your account.

3. Description of the Service

submitcfp lets organizers run Calls for Papers, collect and review talk submissions, manage speakers and publish agendas, and lets speakers discover CFPs and submit talks. We may add, change or remove features at any time.

4. Free service & paid plans

Core features are currently offered free of charge. We may introduce optional paid plans or add-ons in the future. If you purchase a paid plan, billing is handled securely by our payment processors (Stripe and/or Razorpay), and the applicable fees, billing cycle and cancellation terms will be presented at checkout and are subject to our Refund & Cancellation Policy.

5. Your content

You retain ownership of the content you submit (talk proposals, abstracts, profiles, reviews, event data, etc.). You grant submitcfp a worldwide, non-exclusive, royalty-free license to host, store, display and distribute that content solely as needed to operate and provide the Service — for example, showing your public speaker profile or an accepted talk on a public agenda. You are responsible for ensuring you have the rights to the content you post.

6. Acceptable use

You agree not to:

  • Break the law or infringe anyone’s rights.
  • Upload malware, spam, or harassing, hateful or misleading content.
  • Attempt to access data or accounts that are not yours, or probe, scan or breach security.
  • Scrape, resell or misuse the Service or interfere with its normal operation.
  • Impersonate others or misrepresent your affiliation.

We may suspend or terminate accounts that violate these rules.

7. Intellectual property

The submitcfp name, logo, software, design and content (excluding your content) are owned by submitcfp and protected by intellectual property laws. These Terms do not grant you any right to our branding without prior written permission.

8. Third-party services

The Service integrates third-party providers (such as email delivery, hosting and payment processing). Your use of those features may be subject to the third party’s own terms, and we are not responsible for their acts or omissions.

9. Disclaimers

The Service is provided “as is” and “as available” without warranties of any kind, whether express or implied, including merchantability, fitness for a particular purpose and non-infringement. We do not warrant that the Service will be uninterrupted, secure or error-free.

10. Limitation of liability

To the maximum extent permitted by law, submitcfp will not be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits or data, arising out of or related to your use of the Service. Our total liability for any claim will not exceed the greater of the amount you paid us in the twelve months before the claim or USD 100.

11. Indemnification

You agree to indemnify and hold submitcfp harmless from any claims, losses or expenses arising from your content, your use of the Service or your violation of these Terms.

12. Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate your access if you breach these Terms or where required by law. Provisions that by their nature should survive termination (such as ownership, disclaimers and liability limits) will survive.

13. Governing law

These Terms are governed by the laws of the operator’s principal place of business [insert governing jurisdiction], without regard to conflict-of-law rules. Disputes will be subject to the courts of that jurisdiction, unless mandatory local consumer law provides otherwise.

14. Changes to these terms

We may update these Terms from time to time. Material changes will be reflected in the “Last updated” date above, and continued use of the Service after changes take effect constitutes acceptance.
